Show Ready Choose Chicago IPW

The Ask

When the world's premier international inbound travel trade show comes to your city, showing up isn't enough. For IPW in Chicago, Choose Chicago needed a booth presence that embodied the city itself — bold, inclusive, architecturally considered, and impossible to walk past.

As host city sponsor, Choose Chicago had a rare advantage: the ability to exceed the standard 16-foot height limit and build up to 25 feet, giving the booth a literal presence above the show floor. The objective was to use that advantage to its fullest.

Beyond spectacle, the environment had to work. The space needed to support 12 semi-private meeting rooms, a staffed reception and hospitality desk, a relaxed lounge for overflow conversations, a barista and cocktail bar, and a large-scale video wall for content and partner programming. It also needed to integrate partner inline booths seamlessly, presenting Chicago's full tourism ecosystem under one cohesive visual identity.

The brief: build something that feels like Chicago.

The Solution

Show Ready partnered with FGPG to design and execute a 40x50-foot island exhibit in a very prominent footprint on the show floor. Every element of the build, from the hanging sculpture overhead to the custom carpet underfoot, was engineered to express Chicago's identity while supporting the operational demands of a high-volume trade show environment.

The Hanging Flag Sculpture

The visual anchor of the entire booth was a large-scale hanging "flag" sculpture measuring approximately 47'4" wide by 11' high, suspended above the exhibit at heights that fully utilized the 25-foot host city allowance. The structure was built on two 3-inch-diameter powder-coated metal tubular frames and featured four 8-foot red-painted 3D stars flanking a 19-foot black backer panel with an LED-illuminated "CHICAGO" logo. Visible from across the hall, it functioned as a landmark as much as a sign.

The Entry Archway Tunnel

Arrivals passed through a custom forced-perspective entry tunnel measuring approximately 17'6" wide by 11'3" high by 5'9" deep. The tunnel was built from six 4-inch thick radiused double-sided panels finished in red, white, and blue laminate, with 2-inch LED lighting strips running the interior edges. The effect was architectural and immersive — a clear threshold moment that shifted attendees from the show floor into Chicago's space.

The Reception and Swag Counters

Reception desks were purpose-built rental counters reworked with chrome laminate fronts inspired by "The Bean," Chicago's iconic Cloud Gate sculpture, paired with white laminate tops and sides and front-facing LED lighting. The counters accommodated a 2-to-4-person reception team and included integrated storage and hospitality capabilities, including a mini-fridge, keeping the front-of-house clean and functional throughout the show.

Meeting Infrastructure

Twelve semi-private meeting spaces, each configured for four people, were distributed throughout the booth footprint. The layout balanced accessibility with privacy, allowing the Choose Chicago team to run simultaneous business conversations without the spaces feeling enclosed or isolated from the broader energy of the environment.

AV and Content Integration

A storage and AV closet built on beMatrix framework with custom millwork housed the booth's technical infrastructure. The exterior featured a printed mural, integrating the functional element into the design rather than hiding it. The booth's primary content moment was a 28-panel LED video wall with a 2.3-pixel pitch, part of an 8.9K video package that also included eight separate monitors distributed across partner booths for additional programming and partner content.

Partner Inline Booths

Partner booths in 10x10 and 10x20 configurations used beMatrix frames with backlit SEG fabric graphics with custom headers. The consistent framing system created visual cohesion across the partner row while keeping each partner's identity distinct within their space.

Flooring

The full 2,000-square-foot footprint was covered in custom inlaid carpet using Platinum, Charcoal, and Process Blue tones, designed to create a directional path through the booth and guide attendees intuitively through each zone. Double padding provided comfort for staff and visitors across multi-day show hours

Results

Choose Chicago's booth at IPW stood out in every measurable way.

The hanging flag sculpture and LED-lit entry tunnel created an immediate landmark on the show floor, drawing attendees from afar and establishing Choose Chicago's presence as the undeniable centerpiece of the host city's footprint. The forced-perspective tunnel created a distinct arrival moment that no other exhibitor at the show could replicate.

The 12 meeting rooms supported a high volume of one-on-one business conversations throughout the show, providing the Choose Chicago team with the infrastructure to efficiently engage travel buyers, media, and tourism partners across all three days. The lounge and hospitality bar provided natural overflow space, keeping the energy in the booth even when formal meetings were full.

Partner booths integrated cleanly into the overall environment, presenting Chicago's tourism ecosystem as a unified front rather than a collection of individual operators. The 28-panel LED wall kept digital content active and dynamic throughout the show, reinforcing key messaging and giving partners dedicated screen real estate.

The Choose Chicago booth at IPW 2025 is a demonstration of what's possible when fabrication, strategy, and city identity work together. Every structural decision, from the height-maximizing flag sculpture to the Bean-inspired reception counters, served a dual purpose: to make an impression and make the space work.
